Hourly Wage: $20-$22 (depending on experience and skill set)

24 hours per week consisting of three 8-hour days. This is an 18 month maternity leave job to start that could be extended if need be. 2 weeks of paid holiday after the first year of employment is finished.

Overview

The Administrative Assistant will be a committed follower of Christ who desires to see his/her community significantly impacted with the message of the gospel. This person will be ministry-minded and will recognize the value of their administrative role to the overall ministry of the church (see Gen. 39:5-6, 22-23).

Duties

Information Hub:

  1. Reception
  • Receive all office visitors in a warm and cordial manner; announce appointments; screen drop-in visitors
  • Receive and re-route all incoming calls
  • Receive, respond to or forward all general emails
  • Receive and distribute mail; prepare mail for pick-up
  1. Maintain church database (Elvanto)
  2. Maintain church calendar (Office and Website)
  3. Print and Electronic Media
  • produce all printed communications including the design and production of bulletin, other print media (i.e. brochures, tithe envelopes, etc.), and newsletters
  • maintain & update website, ensuring website remains current
  • monitor the church’s social media accounts (Facebook, Instagram and YouTube)
  • maintain bulletin boards (posters, advertisements, etc.)

Volunteer Management

Schedule and manage volunteers for:

  1. Sunday Services: This includes volunteers for coffee bar, connection desk, greeting, Sunday lunch and chair set up.
  2. Outreach Events

Facility Management

Help with the oversight of the maintenance of the building. Help to keep track of what needs to be repaired. 

  1. Oversee the maintenance and custodial personnel regarding the ongoing repair, cleanliness and care of the church building and grounds
  2. Manage Pro-presenter to make sure it is up to date each week for the Sunday service.
  3. Prepare communion each month prior to the Sunday service. Make sure communion supplies are available. 
  4. Manage and control the distribution of church keys and alarm codes
  5. Manage all aspects of inside ministry use, including room & equipment bookings, etc.; communicate with facility personnel & security monitoring company, when necessary
  6. Ensure the coffee bar remains fully stocked with consumables and that all equipment is in good working order
  7. Manage all aspects of outside facility rentals, including:
  • being the liaison between the rental group and the church
  • room & equipment booking and billing (as per policy)
  • communicate with facility personnel & security monitoring company, when necessary
  1. Administrative liaison for weddings & funerals

Office Management

  1. Manage all office equipment & furniture (copier, printers, computers, phone system, desks & chairs, etc.) with respect to purchase, maintenance and lease contracts
  2. Liaison with contract support services including network & computer support, photocopy technicians, etc.
  3. Stock and organize office supplies

Administrative Assistant to Pastors and Staff

  1. Schedule appointments for the Lead Pastor and staff, when requested
  2. General secretarial duties including typing, filing, photocopying, etc.
  3. Other duties as may be assigned by the Lead Pastor and staff
  4. Create sermon slides and announcement slides for each Sunday.

Confidential Secretary to the Board

    1. Manage all details in regards to the Annual General Meeting (Annual Report, ballots, membership roster, etc.)
    2. Help with any tasks that the Board of Directors need.
